Details Matter in Employment Letters: From 2 Refusals to an Approval

My client was made to feel embarrassed for receiving TWO refusals from IRCC.

He recounted how his colleagues—who prepared their applications and submitted by themselves—were granted Canadian visas for business purposes. As a result, they teased him for being refused.

After looking over his documents he had submitted on his own—and the refusal letter—it was clear to me he had no guidance.

As with every case involving a prior refusal, I usually begin with requesting the visa officer’s notes through ATIP (Access to Information and Privacy).

But with his case, it was too obvious that it was a lack of information.

The officer wasn’t convinced he would leave Canada after his stay.

The Lack of Details That Led to Refusal

His application missed several critical components, including:

  • No Invitation Letter from the Canadian company
  • An Employer Letter missing employment details
  • A letter without an official company letterhead
  • No stated purpose for his visit to Canada
  • No proof of immigration status

In short, he didn’t include any of the documents IRCC lists as requirements for business visitors on their website.

The Role of Employer & Invitation Letters

To build a strong case, IRCC expects support letters from both the applicant’s employer and the inviting party in Canada.

The employer’s letter should include:

  • Job title and duties
  • Salary and employment status
  • Contact information for verification
  • A summary of the company and support for the travel

Meanwhile, the invitation letter should feature:

  • The inviting contact’s name, title, and organization
  • A detailed overview of business activities
  • A clearly stated purpose of the visit
  • Who will cover the applicant’s expenses

Without the above, the application may be viewed as vague or incomplete. Letters that simply say the applicant “must travel for business meetings” may lead to refusal—which is exactly what happened with this case.

How We Improved the Support Letters

After identifying the gaps, we rebuilt a new application.

I provided him support letter templates to make sure all important information was covered, such as:

  • verified employment confirmation,
  • detailed documentation about the applicant’s visit
  • personal ties to his home country.

Thanks to this approach, his new application was approved!
