Assumptions are made, and most assumptions are wrong — Albert Einstein
“I NEED a VISA for Canada, and YOU’RE going to do it NOW!”
This is the ball of pure atomic negative energy, and false belief, that came flaring at me from a client.
Imagine…and this is how the initial interaction began with this client—what a great start.
From an applicant, who avoided providing basic initial information that every consultant needs.
Side note: I’ve noticed a trend in this field of work—people of remarkable significance are more considerate and cooperative, than the above.
The Main Reason Immigration Consultants Need Basic Information
The reason consultants need to gather info, before starting on a visa application—is to avoid investing precious time preparing an application that is not suited for a client. It would result in a refusal from IRCC.
Here are a few examples of questions that need to be answered at the very beginning:
- What are the travel and return dates?
- What is the purpose of travel?
- Do you have a criminal record?
- Have you ever been refused a visa from Canada or any other country?
Without the above questions answered, I would not proceed with a client’s application.
If you’re about to apply for a Temporary Resident Visa for business travels, it’s critical to understand the real-world factors that shape the outcome.
No matter how urgent your plans are—or how strong your desire is to travel to Canada—visa decisions are based on:
- how the application is prepared
- when it’s submitted
- how well it aligns with IRCC’s expectations.
Timelines You Can’t Ignore
Visa success depends on multiple time-sensitive realities—yours, your representative’s, and IRCC’s.
Each one, introduces its own set of variables that can shape how quickly or how slowly an application is processed.
Multiple outcomes from a single choice…
1. Time-Sensitive Realities on Your Side
During preparation, your personal timeline can affect how long the process takes. For instance:
- Your work schedule may limit how quickly you can gather documents or attend appointments.
- Family commitments might delay your ability to focus on paperwork.
- Passport renewal or expiration could pause progress.
- Digital photo issues may arise if IRCC’s specifications aren’t met.
- Following IRCC instructions—missing one line of instruction can lead to delays or a refusal.
- Waiting for your Employment Letter can slow things down, especially if HR is busy.
- Back-and-forth with managers often takes longer than anticipated.
- Delays in receiving your Invitation Letter can stall the whole process.
- Using outdated IRCC forms leading to delays.
- Handwritten forms may be unclear, increasing the risk of refusal.
- Submitting documents in pieces to your representative, slowing down preparation.
- Scheduling biometrics can take weeks depending on availability.
- Technical issues can stall the process.
- Vacation or business travel may prevent you from replying on time.
- Tight work schedules can clash with key deadlines.
2. Time-Sensitive Realities on Your Representative’s Side
Now, let’s consider the timelines your immigration consultant is working with:
- Waiting for all information and documents before beginning the submission process.
- Receiving documents one at a time delays document assembly.
- Time to review the forms and documentation for accuracy and internal consistency.
- Compressing large files to meet IRCC’s upload limits.
- Organizing your application for clarity and compliance.
- Receiving vague or missing information.
- Following-up for clarification on incomplete or inconsistent responses.
- Conducting legal research if prior refusals or criminality exist.
- Requesting ATIP notes to understand past visa application history.
- Following up with IRCC through webforms and other official channels.
- Updating internal systems for proper case tracking.
- Troubleshooting common IRCC portal issues.
- Managing delays from late payments or missing consent forms.
- Dealing with software crashes or file errors.
- Adjusting for holidays that impact work hours and submission timing.
3. Time-Sensitive Realities on IRCC’s Side
Even with perfect submission, IRCC’s internal processes will influence timelines:
- Country-specific processing speeds differing from country to country.
- Third-party checks for employment or criminality delaying reviews.
- Workloads at visa offices affecting how fast cases are reviewed.
- Seasonal surges (e.g., summer or year-end) leading to longer waits.
- Eligibility screening sometimes requires further clarification.
- IRCC needing more information for clarification.
- Background checks triggering deeper investigations.
- Security screening adding weeks to the process.
- Local document verification taking time depending on region.
- Mailing delays affecting passport returns.
- Availability of biometric appointments.
- System-wide tech issues pausing submissions.
- Temporary form or portal updates interrupting application submission.
- Labor strikes or disruptions halting services.
- Policy changes resetting requirements.
- Canadian and local holidays impacting services.
In Canadian Immigration, Urgency and Emotion Don’t Override Protocols
Visa approvals don’t go to the person who yells the loudest or submits first. They go to those who are prepared, respond promptly, and respect the layers involved in the process.
Success comes from:
- Strategic planning
- Accurate, complete documentation
- Timely, professional responses
- Awareness of external timelines and system limitations
